Six Requirements for Printing Jobs
The following items must be included on all university printing jobs.
1. University wordmark
All university publications are required to have the university wordmark on the front of the publication.
2. AA/EOE/ADA
UNT is Affirmative Action/Equal Opportunity Employer/Americans With Disabilities Act compliant, and there are two options to signify this.
The full non-discrimination statement that follows should appear in all publications where space allows.
It is the policy of the University of North Texas not to discriminate on the basis of race, color, religion, sex, age, national origin, disability (where reasonable accommodations can be made), disabled veteran status or veteran of the Vietnam era status in its educational programs, activities, admission or employment policies. In addition to complying with federal and state equal opportunity laws and regulations, the university through its diversity policy declares harassment based on individual differences (including sexual orientation) inconsistent with its mission and educational goals. Direct questions or concerns to the equal opportunity officer, (940) 565-2737, or the dean of students office, (940) 565-2648.
TTY access is available at (940) 369-8652.
Where space is limited, such as on fliers or in advertising, the abbreviated form may be used:
AA/EOE/ADA
The only exceptions to the use of the approved forms of this statement are university letterhead, memo pads and internal communications that do not require it.
3. Publication date
Texas Government Code Section 441.103, subsection (e), requires each state publication for external distribution to clearly reflect, in a conspicuous location at or near the beginning of the publication, the date it was produced or initially distributed by a state agency. This can be done in a numeric month/year format (for example, 8/05). If a publication is updated, the date also needs to be updated. [The publication date ensures that the publication given out is the most up-to-date information available and not an old publication that was on a shelf.]
4. Contact name and phone number
All publications, even one-page fliers, should have a contact or department name, phone number or address to contact for further information. A web address can be included but can not be the only contact information. All publications intended for mail distribution are required to carry a return address. Postal regulations require the first line of the return address to be "University of North Texas," "University of North Texas Dallas Campus" or "University of North Texas System." No departmental artwork or logos may appear in the area of the return address. Department names appear on the second line. Independent centers or organizations may be exempted from this rule.
5. Accrediting agencies
The U.S. Department of Education (34 C.F.R. 602.23) requires that references to any authorized accrediting agency listed in university literature and advertising include complete contact information for the accrediting agency. This includes the name of the agency, its address and telephone number. For example, "The University of North Texas is accredited by the Commission on Colleges of the Southern Association of Colleges and Schools [1866 Southern Lane, Decatur, Ga. 30033-4097; telephone (404) 679-4500] to award bachelor’s, master’s and doctoral degrees. Inquiries to the commission should relate only to the accreditation status of the institution."
6. Archival and monitoring responsibility
Three sample copies of every official university publication are to be forwarded to the university creative director by the service unit that produced the publication (e.g., Printing Services or other service departments described in this guide), with the exception of online media accessible through the World Wide Web or other networks. Also excepted are banners, promotional items and short-lived items of the sort often produced by Design Works in the University Union. If the service department deems the item appropriate for historical archiving purposes, it should be forwarded to University Archives.
