Student Organization Events
Please be advised that changes have been made regarding student organization events! In an effort to better serve our student organizations in terms of event planning and preparation, a new policy regarding date requirements for student organization event applications has been implemented. As of 8/27/2009 any student organization event that will be
- serving food and/or beverages,
- selling tickets for admission,
- inviting off-campus guests,
- handling hazardous materials (fire, sledge hammer, etc.),
- expecting more than 100 people in attendance,
- serving alcohol,
- involves any kind of physical activity (flag football, basketball tournaments etc.),
- inviting minors
must submit the New Event Application (pdf) in the Student Activities Center 15 business days prior to the event (not counting the day of the event). Additionally, if your event does involve any of the previous elements please be advised that your organization may be required to attend an Event Safety Committee to discuss risk management for the event. If your organization is required to attend an Event Safety Committee meeting, please review the Event Safety Guidelines form prior to attending the meeting and be prepared to discuss the items listed on the form.
Please note that the elements listed above are not an exhaustive list, if the Student Activities Center or the Chair of the Event Safety Committee deems that any activities and/or elements involved with your event may be increase your liability, your organization may also be asked to attend an Event Safety Committee meeting. The purpose of the Event Safety Committee is to ensure that all student organization events with possible risks associated are executed in the safest way possible, to assure the safety of the organization members and their guests.
All other events that do not involve any of the above mentioned elements still must continue to have an Event Application turned into the SAC 10 business days prior to the event. In addition, all student organizations hosting events are encouraged to review the Event Safety Guidelines.
