Using the Organization Chart Program

Add another Slide - an Org Chart

To further elaborate on the commitment to the public, we will create a slide showing the 3 areas targeted for dining.

  1. Create a new slide, and change the type of slide to ORG CHART.
  2. When the new slide is on screen, we know we want to use the same Title info as the previous two slides, so move to the previous slide by clicking the Previous Slide icon on the vertical Scroll Bar. Select the text in the title, and Edit,Copy. Change to the new slide. Click inside the title area, and Edit, Paste.
  3. Double click on the ORG CHART area. You will be in the Microsoft Organization Chart program.

Using the MS Organization Chart program

At the top of the screen, notice the menu for the MS Organization Chart program, as well as the toolbar containing human resources and editing tools.

From the Org Chart menu, select EDIT, SELECT, ALL to select all the existing boxes. You can make changes to all boxes at one time once selected.

To change the font for all boxes, select from the menu, TEXT, FONT. Change to a different Font, Font Style and Size. Choose OK when finished.

  To add text to the box, click the top box of the organization chart. The whole box is selected. Select by highlighting the prompt text "Type Name Here" and type the first name. Use Tab to move to the next prompt and type a Title if necessary. If there is not a title, delete the text "Type Title Here".

If you hold down the CTRL key and press the down arrow at the same time, you will be moved to the first subordinate box.

Pressing CTRL and the right arrow key moves to the next coworker box.

  • In the Manager box, type: Hotel and Restaurant Management. The Title is: Hospitality Students.
  • In the first Subordinate Box, type: Faculty
  • In the second Subordinate Box, type: Staff
  • In the 3rd Subordinate Box, type: Community.

Choose from the menu FILE, EXIT AND RETURN TO PRESENTATION1.

You are asked if you want the changes to be used to update your PowerPoint presentation. Click YES to save the work.

Editing the Organization Chart

Once created, it is easy to go back and edit the organization chart. Double click the organization chart to edit.

To change the shape and shadowing of the boxes, select EDIT, SELECT, ALL. Once selected, choose BOXES, BOX SHADOW and choose the shadow appearance you want.

To change the border of the boxes, choose BOXES, BOX BORDER and change to a thick/thin border style.

Change the color of the box by choosing BOXES, BOX COLOR. To change the color of the text, however, you need to choose, TEXT, COLOR.

Click outside the boxes to see the results and to turn off the selected function.

To add two subordinates to a manager, click the Subordinate button twice, then click the manager’s box.

Change the style of the organization chart, by first, EDIT, SELECT, ALL, and then clicking on STYLES, and choose from the styles menu that shows several group styles. Select from the list the different alternatives to choose the one you need.

To change the lines connecting the boxes, first select everything (Edit, Select, All), then click on BOXES, and choose from the alternatives in the Line Thickness, Line Style (dashed, regular, etc.), and Line Color.

Choose FILE, EXIT AND RETURN TO PRESENTATION1 from the Organization Chart menu bar to save the changes you have made. Click on Yes when asked if you want to update the object.

Once back in the Slide, add the graphic by selecting Food and Dining Clipart, and then finding Foodgrps.

Saving

Be sure to save often and keep updating and saving.
